Supervisor – Distribution – NW Arkansas

Job Summary: Assist with management of the Distribution Department. Oversee shipments of blood components and operations that achieve this goal. Assist with matching blood types to demand, as well as component preparation to demand. Manage staff and insure staffing is adequate and trained. Have knowledge of overall duties and responsibilities of the Distribution Department.

Duties and Responsibilities:

Inventory Control: Balances supply vs. demand. Prepares daily component plan to meet customer needs. Interacts with multiple departments to accomplish adequate blood supply and appropriate product mix. Orders, stocks and maintains miscellaneous products/plasma products to meet customer/patient needs.

Dispatching: Receives incoming calls. Monitors inventory. Minimizes outdates by proper utilization. Evaluates and selects orders. Classifies urgency of orders and fills order within requested time frames. Is confident and able to make decisions based on available facts. Has competent communication skills to permit conversing with various levels of hospital and blood center staff. Possess customer service skills that promote a high standard of customer satisfaction in regard to patient/hospital orders. May require offering alternative solutions to order problems.

Staffing Issues: On an ongoing basis assesses and coordinates even work loads to achieve quality performance and efficient customer service. Assists any staff member with work when necessary. Assists with staff training as needed.

Record Keeping: Knows all routine paperwork, how to complete, maintain and store. Performs audits as needed. Requires a thorough understanding of the current computer system used for managing inventory, distributing products and billing customers.

Management: Knows all duties of supervisor essential to department functionality. Makes decisions for appropriate performances and customer satisfaction. Makes operational decisions. Assists in development and implementation of policies, training and evaluation of staff.

Miscellaneous: Accomplishes department goal/company goals by assisting in any way possible to provide and maintain the highest standard of quality in customer/patient service. Assists or performs irradiation as needed. Knows alarm system operation and maintenance. Rotates being on call and completing all necessary tasks while covering in a timely manner. Provides excellent customer service, cultivating positive working relationships with all staff, volunteers and external customers. Exhibits safety, accuracy, respectfulness and efficiencies within specific job tasks. Assists with special projects as assigned. Physical Requirements: Must be able to perform tasks requiring lifting. Requires much physical movement about department and building. Must have keen eyesight to perform final quality control functions and inspections.

Job Specifications: Requires excellent interpersonal/communication skills. Must be High School Graduate Must have valid driver’s license, a clean driving record, and be able to be fully insured by the agency auto insurance carrier. Must write legibly. Must possess superior phone skills. Must be confident and be able to make decisions based on facts available. Computer skills are required.
